Positive Pay Control Record Maintenance

Use Positive Pay Control Record Maintenance to define the bank for the Positive Pay transmission file.  The Positive Pay system transfers files to your bank to detect possible check fraud.

• Opening Positive Pay Control Record Maintenance, click More.

   

  • Open the program from the Menu Bar as follows:

  1. Click Payroll.

  2. Click Miscellaneous File Maintenance.

  3. Click Positive Pay FM.

  4. Click Positive Pay Control Record.

  • Or, use the keyboard shortcut:  [ALT] [p] [m] [p] [c].

   

• Creating a new Control Record, click More.

   

  To create a new Control Record, click File from the Menu Bar, and next click New.
  Keyboard shortcut:  [ALT] [f] [n]

  Note:  There is only one Control Record, so normally you only have to create the new record once.

  Examples:

    

  Tip:  To indicate that you are building a new Control Record, displays in the upper right corner.  Default entries display and the first field is highlighted to let you know you can begin entering information.

  Positive Pay Control Record Maintenance Prompts Note:  The sequence of the fields and field formats vary according to the Company Control Option setting for Positive Pay Format at the Payroll II tab.
  Bank Number	Enter the Bank Number for the financial institution.
  Account Number	Enter your Bank Account Number.
  Header ID / Control ID	Enter the ID provided by your bank or financial institution.
  	To update the new or changed information, click Save, or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save the new or changed Control Record.

   

• Editing an existing Control Record, click More.

   

  CAUTION:  To avoid losing data, you must save the new or changed Control Record.

  1. To display the record to be changed, simply open the program.

  2. To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3. Enter the data changes.

  4. To complete the edit process, click Save , or press [ENTER] if the button is in focus.
     Keyboard shortcut:  [ALT + s]

   

• Deleting an existing Control Record, click More.

   

  1. To display the record to be deleted, simply open the program.

  2. Click File from the Menu Bar, and next click Delete.
     Keyboard shortcut:  [ALT] [f] [d]

  3. At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
