Physical Inventory Edit Work File

Use Physical Inventory Edit Work File to enter the physical counts for the items during the Physical Inventory count.  After the physical inventory item counts are entered here, then the Variance report can be used to determine the differences between the physical and the system item counts.

• Opening Physical Inventory Edit Work File routine, click More.

   

  1.  Click Physical Inventory Menu from the Menu.

  2.  Click Physical Inventory Edit Work File.

• Entering a count for a Physical Inventory Work File record, click More.

   

  Physical Inventory Edit Work File Prompts
  Item Location Product Category Cycle Code	The items in the Physical Inventory Work file display for entering counts.  You can limit the display to a specific item or specific items associated with a location, product category or cycle code.   Tip:  In the window example, the display is limited to a specific location and product category - the Electric Department and utility poles. To include all items, leave the fields blank. To display a specific Item, enter the defined Item ID.  (up to 45 characters) Note:  To search for the desired Item if you do not know the ID, click Search . Or, to display items associated with a specific location, product category or Cycle Code, press [Tab] and enter the appropriate location, product category or cycle code.
  	To view the items in the Physical Inventory Work File that meet the criteria entered above, click Search.  From the Search list you can select the record to enter the count.
  Count	Click the Count field of the item to update and the item line is highlighted. Then, enter the number of the items that were found during the physical count.  (6.5 numeric) Note:   The Count defaults to the computer count until edited.
  	To update the new or changed information, click Save Changes. Tip:  If you have several items listed in a row, you may find it handy to enter the count for each item and then click Save Changes.  However, if you need to search for an item after entering any count information click Save Changes to ensure the count entries are saved.
  	CAUTION To avoid losing data, you must save counts.

   

• Creating a Physical Inventory Work File record, click More.

   

  Note:  Items can not be created during Physical Inventory Edit Work File.  To create an item, use Item Master Maintenance.  

   

• Deleting a Physical Inventory Work File record, click More.

   

  Note:  To maintain data integrity, items can not be deleted during the Physical Inventory Edit Work File routine.  To delete an item, see Inventory Master Maintenance.
